Job Purpose

The Office Admin/HR Assistant would work with a wide range of people ensuring the efficient operation of the local HR & office functions while providing assistance and support as required for day to day office operations. This individual will keep the staff informed and updated on activities, events, news and information and in general, will facilitate office operations by overseeing local HR and office administrative tasks. 

 Essential Duties and Responsibilities

Schedules and organizes complex activities such as meetings, travel, conferences and department activities.  

Performs desktop publishing. Creates and develops visual presentations for the CEO.

Establishes, develops, maintains and updates filing system, and retrieves information from files when needed. 

Organizes and prioritizes large volumes of information and calls.

Drafts written responses or replies by phone or e-mail when necessary. 

Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents and directors. Handles confidential and non-routine information and explains policies when necessary.

Acts as project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.

Coordinates division of workload with the administrative assistant in community relations.

Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. 

Supports HR in recruiting and hiring process, and coordinates talent acquisition activities.

Serves as point of contact for personnel on local HR, recruiting & office admin issues

Education/Experience

Bachelor’s degree required 

2+ years in HR and/or office administration     

Strong understanding of current human resource related laws and regulations 

Strong oral communication skills to communicate effective with persons on all levels, internally and externally. 

Experience working in a fast paced environment with quickly changing priorities 

Experience with using Microsoft suite, databases and eager to learn new software as needed.  

Great attention to detail 

Self-starter

English/Chinese bilingual preferred
