WHAT YOU'LL BE DOING

As an Executive Assistant/Office Coordinator, you will have the opportunity to gain a variety of experience, including but not limited to the following:

Executive/Management Support:

Be the right-hand person of the founders and the management team.

Schedule and coordinate meetings and make travel arrangements.

Research conferences/workshops and coordinate presentation details.

Compose letters and memoranda from dictation, verbal direction or knowledge of company policies/procedures. Initiates responses to correspondence for management’s signature. Proof read and edits documents and manuals.

Prepare complex, regularly scheduled or non-standard management reports. Gather, analyze and summarize data in a clear and informative method.

Dive into ad hoc projects as needed.

Office Coordination:

Support the daily operations of the entire team.

Maintain phone and email communications with external parties.

Organize/maintain files and correspondence records.

Coordinate and support travel arrangements for employees.

Coordinate special projects: monitors deadlines and initiates follow-up.

Foster an enjoyable office environment for employees and visitors.

Maintain the office organized; track and stock office supplies, kitchen supplies.

Organize team building events, company retreats, and other special events.

HR Management:

Manage and maintain employee paperwork.

On-board new employees such as setting up and managing email, order business cards, and set up hardware and software and provide new employee training.

Manage independent consultant contracts, onboarding process and invoice/payment.

Maintain and update team handbook and internal process/procedure documents.

Purchases, Contract, Billing and Accounting:

Maintain and update business contract documents and vendor forms.

Paying bills, issue invoices and manage all expenses related to the office.

Filing and bookkeeping.

Manage and track company finances. Generate weekly reports for the management.

Dive into other business operation related tasks.

WHAT WE'RE LOOKING FOR

0-2 years of related experience in executive assistant or office management.

Exceptional organization and time management skills.

Excellent written and verbal communication skills.

Discretion when dealing with confidential information.

Experience managing budgets, saving costs, and researching better solutions.

Experience in accounting software QuickBook Online and book keeping skills.

Bilingual (English and Chinese) will be a plus.
