A privately-owned management company located in Burlingame with branch offices in Hong Kong and Vancouver is looking for a part-time Administrative/ Executive Assistant. While the company's core business is the development of commercial and residential real estate in the U.S., Canada and Hong Kong, the company also maintains a diverse portfolio of interests in property management, travel services, wine business, and sourcing solutions.

Job duties include but not limited to:

• Office Reception, phone coverage, greet all visitors and accept deliveries;

• General Administration support such as maintain supplies inventory, maintain and negotiate all office vendor contracts, setup conference rooms, coordinate meetings and events;

• Other general clerical projects and duties to include but not limited to photocopying, scanning, mailing, and filing.

• Supporting C-level executives at both the executive and personal levels

• Managing C-level executives' calendar for business and social events

• Drafting and reviewing correspondences and e-mails

• Coordinating meetings and phone conferences, participating in meetings and taking meeting minutes

• Assisting Human Resources department in recruiting, new hire intake/orientation, termination, payroll calculation, compensation and benefits administration and recordkeeping, maintaining employee files and the HR filing system, etc.

• Providing back-up support to other Executive Assistants in the team

• Overseas business travel is required occasionally

Ideal candidate should possess the followings:

• A 4-year College degree with major in Finance, Accounting, or Human Resources Management would be an advantage

• Must be energetic, self-motivated, and be able to multi-task

• Excellent written and verbal communication skills

• Proven time management and prioritization skills

• Proficiency in MS Office Suite and Outlook (especially Excel spreadsheet)

• Highly accountable with excellent work ethics

• Language proficiency in Chinese is required

• Travel industry experience is a plus
