This is a full-time, exempt position at Skagit Valley College, reporting to the Vice President of Whidbey Island Campus. The Administrative Specialist serves as the primary assistant on administrative matters to the Vice President, performing higher-level administrative duties of a substantive nature and direct confidential secretarial support to the Vice President. This position also supports the Mount Vernon Arts & Sciences Department in the development of annual and quarterly schedules.
RESPONSIBILITIES
Exercise discretion and independent judgment to support the Office of the Vice-President in assuring instructional processes including class schedule, faculty professional development tracking, faculty evaluation and student surveys are completed following institutional procedures and by expected deadlines;
Produce annual and quarterly class schedules for all instructional departments which report to the Vice-President and the Dean of Arts and Sciences;
Provide backup support to generate part-time faculty contracts and faculty stipends;
Assign rooms to classes and events at the Whidbey Island Campus;
Exercise independent judgment to provide high level substantive, comprehensive and confidential administrative, secretarial, and coordination support to the Vice President;
Works independently to collect, analyze and report instructional program data related to enrollment, efficiency, access, completion, placement, articulation, and other metrics as needed;
Prepare background information in preparation for supervisor's professional commitments;
Plan, organize and staff meetings which will occur both during and outside of the regular office schedule;
Create and maintain a calendar of standing meetings;
Maintain department supplies;
Independently coordinate projects and ongoing functions as assigned by the Vice President;
Schedule and coordinate staff meetings and in-service activities as requested;

Excellent writing, editing and computer skills, including experience with Excel spreadsheets, presentation software, word processing, and Microsoft Outlook;

MINIMUM QUALIFICATIONS
Associate of Arts Degree and one year of progressively responsible experience as an executive secretary or administrative assistant for a senior-level manager, OR equivalent combination of education and experience.
DESIRED QUALIFICATIONS
A Bachelor's degree or closely related field and one year of administrative or supervisory experience or any equivalent combination of education and experience.
